RENALIS OÜ PRIVACY NOTICE

A visitor to the Renalis.ee website must agree to the methods of data collection and processing described in this privacy notice. We record and retain three types of personal data responsibly and carefully: data detectable from the use of our online services, data provided by users themselves, and data derived through analytics.

4. Purpose of processing personal data

The source of the data is the website user/customer themselves. Personal data is processed for purposes related to data management, retention and development, and to offering and providing services.

5. Legal bases for processing

The legal bases for the processing of personal data under the EU General Data Protection Regulation (hereinafter also “GDPR”) are as follows:

1. the data subject has given consent to the processing of their personal data for one or more specific purposes (GDPR Art. 6(1)(a));
2. processing is necessary for the purposes of the legitimate interests pursued by the controller or a third party (GDPR Art. 6(1)(f)).

The legal bases for processing are consent and legitimate interest. The legitimate interest is based on an appropriate relationship between the data subject and the controller, where processing takes place for purposes that the data subject could reasonably expect at the time of collection and in the context of that relationship.

What data does Renalis collect and store?

Data provided by the user:

• identification data, such as name;
• contact details, such as phone number, email address and postal address.
  
  

7. Regular sources of data

Personal data is collected from the data subject.

Personal data is also collected and updated, within the limits of applicable law, from generally available sources related to the performance of the customer relationship between the controller and the data subject, which enable the controller to fulfil its obligations related to maintaining customer relationships.

8. Sensitive personal data

We do not ask or invite you to provide us with sensitive personal data. Please do not send or provide us with any data considered sensitive under applicable law (such as a personal identification code, credit card number, passport number, data concerning racial or ethnic origin, data concerning political opinions, data concerning religion or philosophical beliefs, health data, data concerning sex life or sexual orientation, data concerning criminal record, data concerning trade union membership, or biometric or genetic data used for the purpose of identifying a natural person) on our website or otherwise.

9. Use of personal data of minors

This website is not directed at persons under the age of 16. We ask that persons under the age of 16 do not submit their personal data through this website. If your child has sent us their personal data and you wish to request the deletion of that personal data, please contact the Data Protection Specialist [email protected].

10. Retention period of personal data

Data collected in the register is retained only for as long and to the extent necessary in relation to the original or compatible purposes for which the personal data was collected. We retain data for the period necessary to fulfil the purposes of use referred to in this notice. The controller regularly assesses the necessity of retaining data in accordance with its internal codes of conduct. In addition, the controller takes all reasonable measures to ensure that personal data which is inaccurate, incorrect or outdated in relation to the purposes of processing is erased or rectified without delay.

11. Data transfers and disclosures

Renalis stores data within the EU and does not disclose or transfer data outside the European Economic Area.

12. Data protection

Renalis uses administrative, organisational, technical and physical safeguards to protect the personal data it collects and processes. Measures used by Renalis include, for example, data encryption, passwords, firewalls, and secure premises and systems protected by restricted access rights. Renalis’s security measures are designed to maintain an appropriate level of confidentiality, integrity, availability, recoverability and resilience of the data.

The controller has restricted access rights and authorisations to information systems and other storage platforms so that only persons for whom it is necessary for lawful processing can access and process the data. In addition, the use of databases and systems is logged in the controller’s IT system log data.

13. Rights of the data subject

The data subject has the following rights under the EU General Data Protection Regulation:

1. the right to obtain from the controller confirmation as to whether personal data concerning them is being processed, and, where that is the case, access to the personal data and the following information: (i) the purposes of processing; (ii) the categories of personal data concerned; (iii) the recipients or categories of recipients to whom the personal data have been or will be disclosed; (iv) where possible, the envisaged period for which the personal data will be stored, or, if not possible, the criteria used to determine that period; (v) the right of the data subject to request the controller to rectify or erase personal data concerning them, or to restrict processing, or to object to such processing; (vi) the right to lodge a complaint with a supervisory authority; (vii) where the personal data is not collected from the data subject, any available information as to its source (GDPR Art. 15). The basic information described above (i)-(vii) is provided to the data subject through this form;
2. the right to withdraw consent at any time, without affecting the lawfulness of processing based on consent before its withdrawal (GDPR Art. 7);
3. the right to require the controller to rectify, without undue delay, inaccurate and incorrect personal data concerning the data subject, and the right to have incomplete personal data completed, including by means of providing a supplementary statement, taking into account the purposes for which the data was processed (GDPR Art. 16);
4. the right to obtain from the controller the erasure of personal data concerning them without undue delay, provided that (i) the personal data is no longer necessary for the purposes for which it was collected or otherwise processed; (ii) the data subject withdraws the consent on which the processing was based, and there is no other legal ground for the processing; (iii) the data subject objects to the processing on grounds relating to their particular situation and there are no overriding legitimate grounds for the processing, or the data subject objects to the processing for direct marketing purposes; (iv) the personal data has been unlawfully processed; or (v) the personal data must be erased for compliance with a legal obligation to which the controller is subject under Union or Member State law (GDPR Art. 17);
5. the right to obtain from the controller restriction of processing where (i) the data subject contests the accuracy of the personal data, for a period enabling the controller to verify the accuracy of the data; (ii) the processing is unlawful and the data subject opposes the erasure of the personal data and requests the restriction of their use instead; (iii) the controller no longer needs the personal data for the purposes of processing, but it is required by the data subject for the establishment, exercise or defence of legal claims; or (iv) the data subject has objected to processing on grounds relating to their particular situation, pending verification of whether the legitimate grounds of the controller override those of the data subject (GDPR Art. 18);
6. the right to receive personal data concerning them, which they have provided to the controller, in a structured, commonly used and machine-readable format, and the right to transmit that data to another controller without hindrance from the controller to whom the personal data was provided, where processing is based on consent within the meaning of the Regulation and is carried out by automated means (GDPR Art. 20);
7. the right to lodge a complaint with a supervisory authority if the data subject considers that the processing of personal data concerning them infringes the EU General Data Protection Regulation (GDPR Art. 77).
